Major Duties:<\/u><\/strong><\/p>

(a) To provide secretarial and administrative support to the Registry;
(b) To support the processing of student visa applications, student records management, tuition fees, admission applications, examination scheduling and invigilation, vetting of qualifications, and the coordination of the graduation ceremony;
(c) To supervise the work of junior grade staff, and to monitor their performance;
(d) To assist in liaising with and addressing enquiries from internal and external parties including applicants, education agents and education institutions regarding student visa applications, tuition fees, registration, enrolment, student records matters, admission and any other student-related enquiries;
(e) To address enquiries and draft official correspondence, including emails, letters and notices;
(f) To handle general office administration, sourcing, ordering and stock management of supplies, including the payment process, as well as asset management;
(g) To assist in document management, and the compilation of management reports and statistics;
(h) To provide logistical and on-site support for the Institute\u2019s events and activities; and
(i) To maintain the website of the Registry.<\/p>

Requirements:<\/u><\/strong><\/p>

(a)(i) Level 2 or above in 5 subjects, including English Language*, Chinese Language and Mathematics, in the Hong Kong Diploma of Secondary Education (HKDSE) Examination, or equivalent^; OR
<\/u>(ii) Level 2 \/ Grade E or above in 5 subjects including English Language (Syllabus B)*, Chinese Language and Mathematics in the Hong Kong Certificate of Education Examination (HKCEE); OR
<\/u>(iii) Diploma of Applied Education + Maths Plus \/ Diploma Yi Jin + Mathematics \/ Project Yi Jin; OR
<\/u>(iv) A recognised Certificate \/ Diploma \/ Foundation Diploma \/ Foundation Certificate \/ Diploma of Foundation Studies; OR
<\/u>(v) A recognised Associate Degree \/ Higher Diploma or above.
*\u00a0Completion of the Hong Kong Vocational English Programme (HKVEP) at Level 2 \/ Passing 5 specific VTC\u2019s Vocational English Module Certificates is considered an alternative qualification.
<\/em>^\u00a0\u201cAttained\u201d in Applied Learning subjects (subject to a maximum of two Applied Learning subjects), and Grade E in Other Language subjects in the HKDSE Examination are accepted as equivalent to Level 2 in the New Senior Secondary subjects.<\/em>
(b) At least 3 years\u2019 relevant work experience in the capacity of Executive Assistant (or equivalent) rank;
(c) High proficiency in the use of computer software applications, including MS Word, Excel, PowerPoint, and Chinese word processing;
(d) Flexible, polite, detail-oriented, organised, proactive, and with the ability to multitask and work independently, as well as be a good team player;
(e) Able to appropriately handle confidential information and materials;
(f) Good communication and interpersonal skills;
(g) Good command of both written and spoken English and Chinese, preferably including Putonghua; and
(h) Administrative and \/ or secretarial support experience in local tertiary education institutions, student visa applications, graduation ceremonies and tuition fee will be an advantage.<\/p>

Notes:<\/u><\/strong><\/p>

(1) Applicants who have responded to the advertisement in the last six months need not re-apply.
(2) The appointee may be required to perform duties at different sites and outside Hong Kong occasionally, and work irregular hours, shifts and \/ or on Saturdays and Sundays as necessary.<\/em>
(3) The remuneration package will be competitive and commensurate with qualifications and experience.<\/em>
(4) <\/em>The appointee will mainly work at the Chai Wan Campus and be required to provide support at other campuses occasionally.<\/em><\/p>
