Ref No.: AFMO\/EAII\/04\/26<\/strong><\/p>

Major Duties:<\/u><\/strong><\/p>

(a) To provide secretarial and general administrative support to the Administration and Facilities Management Office (AFMO) of the Institute;<\/p>

(b) To draft official correspondence, including emails, letters, notices, agendas and minutes for the AFMO;<\/p>

(c) To manage the booking\/timetable system, and the door access control system for campus users;<\/p>

(d) To handle the booking of campus facilities\/venues\/parking and services requests raised by internal units and external parties;<\/p>

(e) To guide visitors on campus visit, assist in organising\/coordinating meetings\/events, and coordinate with other supporting personnel for venue set-up and reinstatement;<\/p>

(f) To assist in reporting repair and maintenance cases and following them up with relevant units\/service contractors;<\/p>

(g) To handle enquiries and maintenance requests via email\/system\/phone; and<\/p>

(h) To assist in monitoring the standards of security and cleaning services of the campus.<\/p>

Requirements:<\/u><\/strong><\/p>

(a)\u00a0\u00a0 (i)\u00a0 Level 2 or above in 5 subjects, including English Language*, Chinese Language and Mathematics, in the Hong Kong Diploma of Secondary Education (HKDSE) Examination, or equivalent^; OR<\/u><\/p>

(ii) Level 2 \/ Grade E or above in 5 subjects including English Language (Syllabus B)*, Chinese Language and Mathematics in the Hong Kong Certificate of Education Examination (HKCEE); OR<\/u><\/p>

(iii) Diploma of Applied Education + Maths Plus \/ Diploma Yi Jin + Mathematics \/ Project Yi Jin; OR<\/u><\/p>

(iv) A recognised Certificate \/ Diploma \/ Foundation Diploma \/ Foundation Certificate \/ Diploma of Foundation Studies; OR<\/u><\/p>

(v) A recognised Associate Degree \/ Higher Diploma or above.<\/p>

*\u00a0\u00a0\u00a0\u00a0\u00a0 Completion of the Hong Kong Vocational English Programme (HKVEP) at Level 2 \/ Passing 5 specific VTC\u2019s Vocational English Module Certificates is considered an alternative qualification.<\/em><\/p>

^\u00a0\u00a0\u00a0\u00a0 \u201cAttained\u201d in Applied Learning subjects (subject to a maximum of two Applied Learning subjects), and Grade E in Other Language subjects in the HKDSE Examination are accepted as equivalent to Level 2 in the New Senior Secondary subjects.<\/em><\/p>

(b)\u00a0\u00a0\u00a0 A high level of proficiency in using of computer software applications, including MS Word, MS Excel, PowerPoint, and Chinese word processing;<\/p>

(c)\u00a0\u00a0\u00a0 Good communication skills in both English and Chinese, and good interpersonal skills;<\/p>

(d)\u00a0\u00a0\u00a0 Flexible, polite, detail-oriented, organised and proactive; and<\/p>

(e)\u00a0\u00a0\u00a0 Ability to multi-task independently and be a good team player.<\/p>

Notes:<\/u><\/strong><\/p>

(1) Applicants who have responded to the advertisement in the last six months need not re-apply.<\/em><\/p>

(2) The appointee may be required to work irregular hours or shifts and perform duties on Saturdays and Sundays as necessary.<\/em><\/p>

(3) The remuneration package will be competitive and commensurate with qualifications and experience.<\/em><\/p>

(4) The appointee will mainly work at the Chai Wan Campus. He\/she will also be required to provide support at different sites and campuses from time to time, subject to operational needs.<\/em><\/p>
