TITLE :

Executive Assistant II

President’s Office

Ref No.: PO/EAII/03/26

Major Duties:

(a) To perform administrative and support duties for the President’s Office;
(b) To handle the sourcing, ordering and stock management of supplies, including the payment process, as well as the asset management;
(c) To assist with document and records management, including accurate and comprehensive data entry from multiple sources into the appropriate records;
(d) To assist in organising and providing support to meetings, events, functions, forums, conferences, symposia and other activities for the Institute;
(e) To assist in coordinating, arranging and conducting campus visits and tours, and to provide logistical and on-site support for visits by external guests;
(f) To draft official correspondence, including emails, letters, notices, agendas, meeting notes, duty visit reports and other documents;
(g) To handle enquiries from internal and external parties; and
(h) To assist in the preparation of presentation slides, event posters and other meeting / event materials or documentation for various meetings, events and purposes.

Requirements:

(a) (i) Level 2 or above in 5 subjects, including English Language*, Chinese Language and Mathematics, in the Hong Kong Diploma of Secondary Education (HKDSE) Examination, or equivalent^; OR
(ii) Level 2 / Grade E or above in 5 subjects including English Language (Syllabus B)*, Chinese Language and Mathematics in the Hong Kong Certificate of Education Examination (HKCEE); OR
(iii) Diploma of Applied Education + Maths Plus / Diploma Yi Jin + Mathematics / Project Yi Jin; OR
(iv) A recognised Certificate / Diploma / Foundation Diploma / Foundation Certificate / Diploma of Foundation Studies; OR
(v) A recognised Associate Degree / Higher Diploma or above.
*    Completion of Hong Kong Vocational English Programme (HKVEP) at Level 2 / Passing 5 specific VTC’s Vocational English Module Certificates is considered an alternative qualification.
^   “Attained” in Applied Learning subjects (subject to a maximum of two Applied Learning subjects), and Grade E in Other Language subjects in the HKDSE Examination are accepted as equivalent to Level 2 in the New Senior Secondary subjects.
(b) Polite, detail-oriented, organised, proactive, flexible / adaptable, with a strong sense of responsibility, good time management skills, and the ability to multitask independently as well as be a good team player;
(c) Able to appropriately handle confidential and sensitive information and materials;
(d) High proficiency in the use of computer software applications, including MS Word, MS Excel, MS PowerPoint, and Chinese word processing;
(e) Strong interpersonal and communication skills; and
(f) Good command of both written and spoken English and Chinese, with fluency in Putonghua will be an advantage.

Notes:

(1) Shortlisted applicants will be required to attend and pass a written test and a computer skills test.
(2) The appointee may be required to perform duties at different sites and outside Hong Kong occasionally, and work irregular hours, shifts and / or on Saturdays and Sundays as necessary.
(3) The remuneration package will be competitive and commensurate with qualifications and experience.
(4) The appointee will work at the Chai Wan Campus.
