TITLE :

Executive Assistant II

Registry

Major Duties:

(a) To provide clerical and general administrative support to various functions of the Registry, including admissions, vetting of qualifications, student visa processing, student registration, timetabling, module registration, assessment, tuition fee collection and refund, and programme administration;
(b) To manage the service counter, and handle enquiries and phone calls from internal and external parties;
(c) To provide support in filing and preparing simple correspondence/statistics/reports;
(d) To assist in procurement and stores administration;
(e) To provide support for various meetings, activities, and events; and
(f) To support the Registry’s operations and other services, including cross-campus/cross-sites deployment when required.

Requirements:

(a) (i) Level 2 or above in 5 subjects, including English Language*, Chinese Language and Mathematics, in the Hong Kong Diploma of Secondary Education (HKDSE) Examination, or equivalent^; OR
(ii) Level 2 / Grade E or above in 5 subjects including English Language (Syllabus B)*, Chinese Language and Mathematics in the Hong Kong Certificate of Education Examination (HKCEE); OR
(iii) Diploma of Applied Education + Maths Plus / Diploma Yi Jin + Mathematics / Project Yi Ji; OR
(iv) A recognised Certificate / Diploma / Foundation Diploma / Foundation Certificate / Diploma of Foundation Studies; OR
(v) A recognised Associate Degree / Higher Diploma or above.
* Completion of Hong Kong Vocational English Programme (HKVEP) at Level 2 / Passing 5 specific VTC’s Vocational English Module Certificates is considered an alternative qualification.
^ “Attained” in Applied Learning subjects (subject to a maximum of two Applied Learning subjects), and Grade E in Other Language subjects in HKDSE Examination are accepted as equivalent to Level 2 in the New Senior Secondary subjects.
(b) A high proficiency in the use of computer software applications, including MS Word, Excel, PowerPoint, and Chinese word processing;
(c) Good communication, interpersonal and organisational skills; and
(d) Ability to work independently and as a good team player.

Notes:

1. The appointee may be required to work irregular hours, shifts and weekends, as necessary.
2. The remuneration package will be competitive and commensurate with the appointee’s qualifications and experience.
3. The appointee will mainly work at the Chai Wan Campus.  Subject to operational needs, the appointee may be required to work at other campuses (e.g. Tsing Yi), off-campus learning centre(s) or locations occasionally.
