TITLE :

Executive Assistant II (Ref.: O/THEi-VP(OE)O/EAII/09/25)

Vice President (Operation and Enterprise)'s Office

Major Duties:

(a) To perform administrative duties and provide a full spectrum of secretarial support to the Vice President (Operation and Enterprise)’s Office under the guidance of an Officer or Executive Assistant I;
(b) To assist in organising / coordinating meetings and events;
(c) To prepare or enhance papers and PowerPoint presentation materials for meetings and events;
(d) To liaise with internal and external parties on behalf of the Vice President (Operation and Enterprise)’s Office;
(e) To draft official correspondences, including emails, letters, notices, minutes and agendas;
(f)  To assist in document management, the compilation of management reports and statistics;
(g) To review documents and records to be submitted to internal committees and external regulatory bodies;
(h) To assist in providing logistic and secretarial support for institution-wide events, conferences, functions and student orientations; and
(i)  To handle ad hoc projects and assignments and perform other duties as assigned by supervisor.

Requirements:

(a)  (i)   Level 2 or above in 5 subjects, including English Language*, Chinese Language and Mathematics, in the Hong Kong Diploma of Secondary Education (HKDSE) Examination, or equivalent^; OR
       (ii)  Level 2 / Grade E or above in 5 subjects including English Language (Syllabus B)*, Chinese Language and Mathematics in the Hong Kong Certificate of Education Examination (HKCEE); OR
       (iii) Diploma of Applied Education + Maths Plus / Diploma Yi Jin + Mathematics / Project Yi Ji; OR 
       (iv) A recognised Certificate / Diploma / Foundation Diploma / Foundation Certificate / Diploma of Foundation Studies; OR
       (v)  A recognised Associate Degree / Higher Diploma or above.
*     Completion of Hong Kong Vocational English Programme (HKVEP) at Level 2 / Passing 5 specific VTC’s Vocational English Module Certificates is considered an alternative qualification.
^    “Attained” in Applied Learning subjects (subject to a maximum of two Applied Learning subjects), and Grade E in Other Language subjects in HKDSE Examination are accepted as equivalent to Level 2 in the New Senior Secondary subjects.
(b) A high proficiency in the use of computer software applications, including MS Word, Excel, PowerPoint, and Chinese word processing;
(c) Flexible, polite, detail-oriented, organised, proactive, and with the ability to multi-task independently as well as be a good team player;
(d) Able to appropriately handle confidential materials;
(e) Good interpersonal and communication skills; 
(f) Good command of both written and spoken English and Chinese, with fluency in Putonghua will be an advantage; and 
(g) Administrative and / or secretarial support experience will be an advantage.

备注:

(1) Shortlisted applicants will be required to attend and pass a computer skills test.
(2) The appointee(s) may be required to perform duties at different sites and work irregular hours, shifts and on Saturdays and Sundays as necessary. 
(3) The remuneration package will be competitive and commensurate with qualifications and experience.  
(4) The appointee(s) will work at the Chai Wan campus.
