Post Specification

TITLE :

Executive Assistant I

Human Resources Office

Ref No.: HRO/EAI/06/26

Major Duties:

(a) To provide secretarial and administrative support to the Human Resource Office;
(b) To provide support in all-round Human Resources functions, including but not limited to staff recruitment, onboarding & offboarding processes, and compensation & benefits etc.;
(c) To maintain accurate and updated employee databases and filing records;
(d) To draft official correspondence, including emails, letters and notices;
(e) To handle the sourcing, ordering and stock management of office supplies;
(f) To assist in HR document management, and the compilation of management reports and statistics;
(g) To supervise the work of junior and/or minor grade staff; and
(h) To provide logistical and on-site support for the Institute’s events and activities; and
(i) To provide logistical support for various boards, meetings and staff activities.

Requirements:

(a)(i) Level 2 or above in 5 subjects, including English Language*, Chinese Language and Mathematics, in the Hong Kong Diploma of Secondary Education (HKDSE) Examination, or equivalent^; OR
(ii) Level 2 / Grade E or above in 5 subjects including English Language (Syllabus B)*, Chinese Language and Mathematics in the Hong Kong Certificate of Education Examination (HKCEE); OR
(iii) Diploma of Applied Education + Maths Plus / Diploma Yi Jin + Mathematics / Project Yi Jin; OR
(iv) A recognised Certificate / Diploma / Foundation Diploma / Foundation Certificate / Diploma of Foundation Studies; OR
(v) A recognised Associate Degree / Higher Diploma or above.
Completion of the Hong Kong Vocational English Programme (HKVEP) at Level 2 / Passing 5 specific VTC’s Vocational English Module Certificates is considered an alternative qualification.
“Attained” in Applied Learning subjects (subject to a maximum of two Applied Learning subjects), and Grade E in Other Language subjects in the HKDSE Examination are accepted as equivalent to Level 2 in the New Senior Secondary subjects.
(b) At least 3 years of relevant work experience in the capacity of Executive Assistant (or equivalent) rank;
(c) A high proficiency in the use of computer application software;
(d) Good command of English and Chinese, preferably including Putonghua;
(e) Good communication, interpersonal and organisational skills;
(f) Flexible, polite, detail-minded, organised and self-initiated;
(g) Demonstrate a strong sense of confidentiality and integrity; and
(h) Ability to work independently and as a good team player.

Notes:

(1) Shortlisted applicants will be required to attend and pass a computer skills test.
(2) The appointee may be required to work irregular hours, shifts, and Saturdays and Sundays, as necessary.

(3) The remuneration package will be competitive and commensurate with the appointee’s qualifications and experience.
(4) The appointee will work at the Chai Wan Campus.
