Major Duties:
(a) To provide secretarial and general administrative support to the Administration and Facilities Management Office (AFMO) of the Institute;
(b) To draft official correspondence, including emails, letters, notices, agendas and minutes for the AFMO;
(c) To manage the booking/timetable system, and the door access control system for campus users;
(d) To handle the booking of campus facilities/venues/parking and services requests raised by internal units and external parties;
(e) To guide visitors on campus visit, assist in organising/coordinating meetings/events, and coordinate with other supporting personnel for venue set-up and reinstatement;
(f) To assist in reporting repair and maintenance cases and following them up with relevant units/service contractors;
(g) To handle enquiries and maintenance requests via email/system/phone; and
(h) To assist in monitoring the standards of security and cleaning services of the campus.
Requirements:
(a) (i) Level 2 or above in 5 subjects, including English Language*, Chinese Language and Mathematics, in the Hong Kong Diploma of Secondary Education (HKDSE) Examination, or equivalent^; OR
(ii) Level 2 / Grade E or above in 5 subjects including English Language (Syllabus B)*, Chinese Language and Mathematics in the Hong Kong Certificate of Education Examination (HKCEE); OR
(iii) Diploma of Applied Education + Maths Plus / Diploma Yi Jin + Mathematics / Project Yi Jin; OR
(iv) A recognised Certificate / Diploma / Foundation Diploma / Foundation Certificate / Diploma of Foundation Studies; OR
(v) A recognised Associate Degree / Higher Diploma or above.
* Completion of Hong Kong Vocational English Programme (HKVEP) at Level 2 / Passing 5 specific VTC’s Vocational English Module Certificates is considered an alternative qualification.
^ “Attained” in Applied Learning subjects (subject to a maximum of two Applied Learning subjects), and Grade E in Other Language subjects in HKDSE Examination are accepted as equivalent to Level 2 in the New Senior Secondary subjects.
(b) A high level of proficiency in the use of computer software applications, including MS Word, MS Excel, PowerPoint, and Chinese word processing;
(c) Good communication skills in both English and Chinese, and good interpersonal skills;
(d) Flexible, polite, detail-oriented, organised and proactive; and
(e) Ability to multi-task independently and be a good team player.
Notes:
(1) The appointee may be required to work irregular hours or shifts and perform duties on Saturdays and Sundays as necessary.
(2) The remuneration package will be competitive and commensurate with qualifications and experience.
(3) The appointee will mainly work at the Chai Wan Campus. He/she will also be required to provide support at different sites and campuses from time to time, subject to operational needs.
