Major Duties:
(a) To provide clerical and general administrative support to the Department of Sport and Recreation and the Department of Hospitality and Business Management;
(b) To provide secretarial support to the Department Head(s) of the Institute;
(c) To supervise the work of executive assistants and / or minor grade staff, and monitor their performance;
(d) To draft official correspondence, including emails, letters and notices;
(e) To handle the sourcing, ordering and stock management of supplies and souvenirs;
(f) To assist in document management, and the compilation of management reports and statistics;
(g) To provide logistical and on-site support for publicity and community outreach activities; and
(h) To maintain the website of the Department(s) of the Institute.
Requirements:
(a) (i) Level 2 or above in 5 subjects, including English Language*, Chinese Language and Mathematics, in the Hong Kong Diploma of Secondary Education (HKDSE) Examination, or equivalent^; OR
(ii) Level 2 / Grade E or above in 5 subjects including English Language (Syllabus B)*, Chinese Language and Mathematics in the Hong Kong Certificate of Education Examination (HKCEE); OR
(iii) Diploma of Applied Education + Maths Plus / Diploma Yi Jin + Mathematics / Project Yi Jin; OR
(iv) A recognised Certificate / Diploma / Foundation Diploma / Foundation Certificate / Diploma of Foundation Studies; OR
(v) A recognised Associate Degree / Higher Diploma or above.
* Completion of Hong Kong Vocational English Programme (HKVEP) at Level 2 / Passing 5 specific VTC’s Vocational English Module Certificates is considered an alternative qualification.
^ “Attained” in Applied Learning subjects (subject to a maximum of two Applied Learning subjects), and Grade E in Other Language subjects in HKDSE Examination are accepted as equivalent to Level 2 in the New Senior Secondary subjects.
(b) At least 3 years’ relevant work experience in the capacity of Executive Assistant (or equivalent) rank;
(c) A high proficiency in computer software applications, including MS Word, MS Excel, MS PowerPoint, and Chinese word processing;
(d) Good communication, interpersonal and organisational skills;
(e) Good command of spoken and written English and Chinese, preferably including Putonghua; and
(f) Ability to work independently and be a good team player.
Notes:
(1) Shortlisted applicants may be required to attend and pass (i) a written test in English and / or Chinese; and (ii) a Computer Skills Test (CST) including document formatting, English and Chinese typing, and use of spreadsheet.
(2) The appointee(s) may be required to work irregular hours, shifts, and on Saturdays and Sundays as necessary.
(3) The remuneration package will be competitive and commensurate with qualifications and experience.
(4) The appointee(s) will work at the Chai Wan campus.
