Major Duties:
(a) Assist in coordinating and monitoring maintenance, alteration & additions, renovations, campus and office relocations, and any other facilities management-related projects across the Institute’s teaching premises;
(b) Process, track, and follow up on work orders related to campus facilities and services, including security, cleaning, catering, venue/facilities booking, access control, and car park management;
(c) Supervise and monitor the performance of junior staff and contractors to ensure work quality and timely completion;
(d) Prepare procurement quotations, tender documents, and draft official correspondence such as emails and notices;
(e) Prepare layout drawings and space planning designs for offices and teaching facilities to support renovations, relocations, and space optimisation;
(f) Provide troubleshooting support and respond promptly to emergencies and technical issues raised by operational units; and
(g) Support the planning and execution of Institute activities and functions, including logistical and technical arrangements.
Requirements:
(a)(i) Level 2 or above in 5 subjects, including English Language*, Chinese Language and Mathematics, in the Hong Kong Diploma of Secondary Education (HKDSE) Examination, or equivalent^; OR
(ii) Level 2 / Grade E or above in 5 subjects including English Language (Syllabus B)*, Chinese Language and Mathematics in the Hong Kong Certificate of Education Examination (HKCEE); OR
(iii) Diploma of Applied Education + Maths Plus / Diploma Yi Jin + Mathematics / Project Yi Jin; OR
(iv) A recognised Certificate / Diploma / Foundation Diploma / Foundation Certificate / Diploma of Foundation Studies; OR
(v) A recognised Associate Degree / Higher Diploma or above.
* Completion of the Hong Kong Vocational English Programme (HKVEP) at Level 2 / Passing 5 specific VTC’s Vocational English Module Certificates is considered an alternative qualification.
^ “Attained” in Applied Learning subjects (subject to a maximum of two Applied Learning subjects), and Grade E in Other Language subjects in the HKDSE Examination are accepted as equivalent to Level 2 in the New Senior Secondary subjects.
(b) Preferably holding a recognised academic qualification in Building Studies, Building Surveying, Building Services Engineering, Civil Engineering, Structural Engineering, Facilities Management or a related discipline;
(c) At least 3 years of relevant work experience in the capacity of Executive Assistant (or equivalent) rank, preferably with relevant experience in renovation works, building or facilities management, building maintenance works, property management, or related areas;
(d) Good technical and analytical skills, a proactive and responsible attitude, and sound problem-solving and interpersonal skills;
(e) High proficiency in computer software applications, including MS Word, MS Excel and MS PowerPoint. Knowledge of AutoCAD will be an advantage;
(f) Good communication skills in both English and Chinese, as well as strong interpersonal skills;
(g) Flexible, polite, detail-oriented, organised, and proactive; and
(h) Ability to multitask and solve problems independently.
Notes:
(1) The post is at the rank of “Executive Assistant I”.
(2) The appointee may be required to perform duties at different locations and work irregular hours, shifts, and weekends, as necessary.
(3) The remuneration package will be competitive and commensurate with the appointee’s qualifications and experience.
(4) The appointee will mainly work at the Chai Wan Campus and may be required to provide support at different campuses from time to time, subject to operational needs.
