TITLE :

Manager

President’s Office

Ref No.: PO/MGR(SOFF)/05/26

Major Duties:

(a) To prepare and compile management reports, progress update reports, annual reports, records and statistics, returns of information, proposals, presentation slides, announcements and updates, and other meeting materials for various meetings, events and purposes;
(b) To organise, manage and provide secretarial support to institute-level meetings, committees and boards, including the preparation of minutes and agendas;
(c) To take lead in organising/coordinating or providing support to various events, functions, forums and conferences, either for the President’s Office or the Institute;
(d) To liaise with internal and external parties on behalf of the President’s Office;
(e) To prepare and/or vet official correspondence, including but not limited to speeches for the President, forewords for publications, letters and emails;
(f) To assist in the management of the President’s Office’s operations, including the provision of administrative support;
(g) To maintain and update the website content in line with the strategic development of the Institute;
(h) To supervise the work of subordinate staff within the President’s Office;
(i) To coordinate and arrange or assist in the coordination and arrangement of campus visits for external guests; and
(j) To handle ad hoc projects, assignments and duties as required to support operational needs of the President’s Office or the Institute.

Requirements:

The successful candidate should:

(a) Have a recognised degree or equivalent qualification;
(b) Have at least 5 years of relevant work experience. Such work experience at supervisory level and/or in educational institutions or comparable organisations will be an advantage;
(c) Be attentive to detail, organised, proactive, goal-oriented, and possess a strong sense of responsibility and a high level of job commitment, coupled with good time management skills and the ability to multi-task independently as well as work effectively in a team;
(d) Have a high level of both written and spoken language proficiency in English and Chinese, with strong interpersonal and communication skills;
(e) Priority will be given to applicants who have solid experience in writing reports, meeting minutes and/or proposal writing in previous work;
(f) Demonstrate a high level of integrity and the ability to appropriately handle confidential information and materials; and
(g) Have a high proficiency in computer software applications, including MS Word, MS Excel, MS PowerPoint, and Chinese word processing.

Notes:

(1) The post is at the rank of “Senior Officer”.
(2) Applicants who have responded to the advertisement in the last six months need not re-apply.
(3) Shortlisted applicants will be required to attend and pass a written test in English and Chinese.
(4) The appointee may be required to perform duties at different sites and outside Hong Kong, and work irregular hours, shifts and on Saturdays and Sundays as necessary.
(5) The remuneration package will be competitive and commensurate with qualifications and experience.
(6) The appointee will work at the Chai Wan Campus.
